Adding Documents to an Existing Analysis
Sometimes a document arrives after you've already analysed an LOA — for example, a contribution history that wasn't included the first time round. Rather than starting a new analysis, you can add the missing document to the analysis that already exists, straight from the LOA screen.
When to use this
Use this when an LOA has already been analysed and you've since received an extra document that belongs to the same policy. Adding it to the existing analysis keeps everything in one place instead of duplicating the policy.
You'd only create a new analysis if the LOA covers multiple policies. If it relates to a single policy (for example, just the one plan number), adding documents to the existing analysis is the right choice — creating a new one would simply duplicate it.
Steps
- Open the LOA record that has already been analysed.
- (Optional) Click View analysis to confirm which documents are already included — for example, verifying that the contribution history isn't there yet.
- Press the plus (+) button.
- Under Add additional documents to, choose the relevant policy by its plan number (e.g. 576) — rather than Create new analysis.
- Select the document(s) you want to add, such as the newly received contribution history.
- Press Add & analyse.
4admin merges the selected document(s) into the existing analysis and re-runs the extraction. You can close the window — the work continues in the background, and you'll get a notification (in the bell) shortly, reading something like "[client]'s [plan type] analysis has been updated". While it's processing, the policy shows as (adding…) and can't be edited until it finishes.
The re-run only populates fields that were still empty in the original analysis, so adding a document tops up missing information (like a contribution history) without re-doing or overwriting what was already extracted.
