Clients & Cases
The Clients & Cases page is your central hub for viewing client records and working with policy analyses.
Accessing Clients & Cases
Click Clients & Cases in the sidebar.
Analyse your first policy
- Click Analyse new policy
- Select the policy type
- Enter the client's name in the bar at the top
- Upload any policy PDFs relevant to the client's policy.
NOTE: 4admin is designed to analyse one policy at a time. If your documents reference multiple policies, it will likely have a negative impact on accuracy.
The Client List
You'll see all your clients listed, with:
- Client name
- Number of policies analysed
- Last edit date
- Badges showing unseen updates or completion status
Searching for Clients
- Type in the search box to filter by name
- Press Enter to search for clients not yet loaded
- Click the calendar icon to filter by time period (24 hours, week, month, 6 months)
- Click refresh to reload the list
Opening a Client's Policies
Click on a client name to expand their record. You'll see all policies analysed for that client, showing:
- Provider
- Plan number
- Policy type
- Valuation
Client Actions Menu
Click the three dots (⋮) next to any client to access:

Adding Documents to an Existing Policy
If you receive additional documents for a policy you've already analysed, you can add them without starting over:
- Click ... on the policy you want to update
- Click Add documents
- Upload the additional document(s)
- 4admin will look to fill any missing fields with information from the additional documents
Viewing Policy Details
Click on any policy to open the full analysis view. This shows:
Left Side: Document Viewer
- The original PDF documents you uploaded
- Navigate through pages to verify information
Right Side: Extracted Information Table
Each row shows:
- Requested Information: The field name (e.g., "Plan Value", "Provider")
- What we found: The extracted value
Understanding the Table
Empty fields (red background): Information not found in the document — you may need to chase the provider.
Confidence indicators:
- Green (High): 4admin is confident in this extraction
- Amber (Medium): Worth verifying
- Red (Low): Manual checking recommended
Citations: Click P.X to jump to the page where information was found. Use the ◀ ▶ arrows to navigate between highlights. Note that these page citations are a 'best estimate' by 4admin. If you want to change a citation value, hover the button and press 'Edit'.
Editing Values
Click on any value to edit it directly. Your changes are saved when you close the modal.
Marking Information Source
For manually entered values, you can:
- Tick Phone call if you got the info from a call
- Click Add citation to note where you found it
Fund Details
If the policy has fund information, click the Fund Details button to see:
- Fund names
- Fund values
- SEDOL/ISIN codes
- Percentages
- Charges
You can edit fund details directly in the drawer.
Find Missing ISINs
If some funds are missing an ISIN, click Find missing ISINs in the fund details drawer and 4admin will fill them in for you.
How it works:
- 4admin's knowledge base first — we check fund codes seen across other policies. Instant matches come with their SEDOL too.
- AI web search next — if we don't have it, an agent searches trustnet, FTAdviser and fund factsheets, and shows the source it used next to the populated ISIN.
Funds you've already filled in by hand are left untouched.
Policy Summary
Each policy card has a Policy Summary option that gives you a clean, at-a-glance overview of the key extracted information — and lets you export it as a PDF.
Opening the Summary
Click the summary icon on a policy card to open the Policy Summary modal.
What's Shown
The summary organises extracted data into sections:

| Funds | Full fund table including Name, Value, Units, ISIN, SEDOL, and FMC |
Only fields that have data are displayed — empty or unavailable fields are automatically hidden.
Excluding Fields from the PDF
You can control exactly what appears in your exported PDF:
- Click the eye icon next to any field to exclude it from the PDF export
- Excluded fields appear faded with a strikethrough eye icon
- Click the icon again to re-include the field
- The header shows how many fields are currently excluded
- Your exclusion preferences are remembered for future exports
Exporting as PDF
- Review the summary and toggle off any fields you don't want included
- Click Export PDF
- The PDF will download automatically, named using the client name and plan number (e.g.
John Smith - 12345 - Summary.pdf)
Exporting Your Results
Click the Export button in the policy details view:

Options:
- Include citations: Adds page numbers (e.g., "£50,000 (P3)")
- Export as zip: Download all files in one zip file
Sending to Your CRM
Click the CRM button to push extracted information to your connected CRM. See CRM Integrations for setup.
Master File Export
To export all policies for a client at once:
- Click the three dots (⋮) next to the client name
- Select Download master file
- Choose Word or Excel
This creates a combined file with all the client's policy analyses.
Marking Policies Complete
Use the checkbox in the policy details view to mark a policy as complete. When all policies for a client are marked complete, you'll see an "All policies complete" badge on the client.
