Adding documents to an existing analysis
When a document turns up after you've already analysed a policy, for example a contribution history or an updated valuation, add it to the existing analysis rather than starting again. 4admin re-reads the policy with the new document and shows you anything that has changed.
How to add documents
- On the Clients & Cases / Analyses page, click the three dots on the policy card and choose Add documents.
- Upload the new file(s). The same formats apply as for a new analysis: PDF, Word (.docx), Excel and CSV.
- Leave Search fields that are already filled ticked unless you only want gaps filled (see below).
- Click Add & analyse.
You can also add documents from an LOA record. See From LOA to policy analysis.
Read-only users don't see Add documents.
What "Search fields that are already filled" does
This option is on by default.
- Blank fields are always filled from the new document, whether the option is on or off.
- Contribution, withdrawal and fund lists are combined with what's already there.
- With the option on, 4admin also re-checks fields that already have a value. If the new document says something different, it shows you both values and lets you choose. Nothing is overwritten automatically.
- With the option off, existing values are left alone and only gaps are filled.
While it runs
The policy card shows an Adding documents... chip and can't be edited until processing finishes. You can close the page. The bell notifies you with a message like "[client]'s [policy type] analysis has been updated".
Reviewing the differences
Open the analysis once it's updated.
- Fields the new document filled in are marked with a red dot. Hover over it to see "Updated by the added document". The dots clear once you've opened the analysis.
- If the new document disagreed with any existing values, an amber banner reads "The added document shows different values for N fields". Click Review to see only those fields, or Show all fields to go back to the full table. Keep all current dismisses every suggestion at once.
- On each affected row you'll see "Added document shows" with the new value and its page reference. Click Use this value to accept it, or Keep current to keep what you had.
Add documents, or start a new analysis?
