Requesting missing information by email
When an analysis has gaps (the fields tinted red), you can email the provider straight from the review screen. 4admin writes the email for you, listing exactly what's missing.
You need a connected mailbox and an email template. Both are set up in Settings: connect a mailbox under Contact Methods, and edit the template under Email templates → Additional info requests.
Sending a request
- Open the policy and click the email icon in the toolbar. The Send information request email window opens.
- Choose From. This is one of your connected mailboxes.
- Choose or type To. 4admin suggests addresses from two sources:
- Addresses found in the document itself, labelled From page X.
- Addresses from 4admin's provider directory, labelled with a match score such as 85% match. You can always type a different address.
- Check the Subject and the body. The body comes from your template with the missing fields inserted in place of the
[missingKeys]placeholder. Edit anything you like. - Click Send to send from 4admin, or Open in Outlook to finish the email there.
Once sent, the policy card shows Additional info requested with a count of the emails and calls made for that policy.
Suggested addresses are a starting point, not a guarantee. Provider mailboxes change, so verify the recipient against the provider's own records before sending.
Read-only users don't see the email icon.
When the reply arrives
Add the provider's reply to the analysis with Add documents so the new values are extracted and reviewed. See Adding documents to an existing analysis. For anything you enter by hand, click Add citation on the field to note where it came from.
Troubleshooting
No suggested addresses. The provider may not be in 4admin's directory yet. Type the address yourself.
Email won't send. Check that you've chosen both a From mailbox and at least one To address, and that the mailbox is still connected under Settings → Contact Methods.
Wrong template or missing placeholder. Templates must contain [missingKeys]. If yours doesn't, 4admin won't let you save it. See Settings.
Prefer to call?
See Calling providers to phone the provider from the same screen, with the call recorded and transcribed.
