From LOA to policy analysis
Once the provider's documents have arrived, you can turn them into a full policy analysis without leaving the LOA record, and later top up that analysis when more documents arrive.
Creating an analysis
- Open the LOA record and click Create policy analysis. (If an analysis already exists, click the + button next to View analysis and choose Create new analysis instead.)
- In the Create analysis drawer, choose the policy type under Select policy type.
- Tick the documents to include. The drawer lists Files (N) (the LOA's Files card) and Emails (N) (linked provider replies, with their attachment counts). Use Search documents… to find a file, and click an item to preview it on the right. Documents that have already gone into an analysis carry an Analysed chip, and emails from a resubmission carry a Resubmission chip.
- Click Analyse N documents.
4admin merges the selected content, runs the extraction, and links the new analysis to the LOA. The timeline records "You analysed this policy on [date]", the LOA moves to Analysed, and you'll get a notification when the analysis is ready.
An analysis works best when its documents relate to a single policy. If the provider has sent a pack covering several plans, tick Document(s) cover several policies – create one analysis per policy (Beta) before you click Analyse. 4admin then detects each policy in the documents and creates a separate analysis for each one. Each policy found counts as its own run.
Read-only users don't see the Create policy analysis button.
Viewing the analysis
After an analysis exists, the LOA record shows a View analysis button that opens it in a new tab. If the LOA has more than one analysis, the button becomes a dropdown listing each one by plan number. An analysis that's still running shows Analysis in progress… and can't be opened yet.
For what you can do on the analysis itself, see Analysing and reviewing a policy.
Adding documents to an existing analysis
Sometimes a document arrives after you've already analysed an LOA, for example a contribution history that wasn't in the first reply. Rather than starting a new analysis, add the document to the one that exists.
- Open the LOA record.
- Click the + button next to View analysis.
- Under Add additional documents to, choose the analysis by its plan number. (Choose Create new analysis only if the new document is for a different policy.)
- In the Add documents to analysis drawer, tick the document(s) to add.
- Decide whether to keep Search fields that are already filled ticked. It's on by default:
- Blank fields are always filled in from the added documents.
- Contribution, withdrawal and fund lists are combined automatically.
- With the option on, fields that already have a value are checked against the new document too. Where the new document shows something different, the difference is shown on the analysis for you to review. Nothing is overwritten automatically.
- Click Add & analyse N documents.
You can close the drawer; the work continues in the background. While it runs, the analysis is listed as (adding…) in the dropdown and can't be opened for editing. When it finishes you'll get a notification in the bell reading "[client]'s [policy type] analysis has been updated", and the LOA's Emails and Files lists will show the new document as analysed.
To review any differences the new document surfaced, open the analysis and use the Use this value / Keep current controls. See Adding documents to an existing analysis for the full review flow.
