Analysing and reviewing a policy
4admin reads a policy document, pulls out the fields you've asked for, and gives you a review screen where you can check every value against the source page, fill gaps, and export the result.
Starting an analysis
- On the Clients & Cases / Analyses page click Analyse new policy.
- Under Pick a policy type choose one of Pension, Pension (Drawdown), ISA, Unit Trust, Investment Bond or Protection. Protection is currently in beta.
- Pick/type a client. Start typing to pick an existing client, or type a new name to create one.
- Upload the policy documents. 4admin accepts PDF, Word (.docx), Excel (.xls, .xlsx) and CSV files. Word and Excel files are converted to PDF in your browser first, and several files are merged into one document.
- Click Analyse. You'll see "Analysis started successfully" and a pending card appears under the client. The analysis usually takes a few minutes, and the bell notifies you when it's ready.
4admin is designed to analyse one policy at a time. A document that covers several plans will reduce accuracy unless you tick Document(s) cover several policies – create one analysis per policy (beta). With that box ticked, 4admin detects each plan in the document and creates a separate analysis for each one. Each policy found counts as its own run.
Things to know about uploads
- Legacy
.docfiles aren't supported. Save them as.docxor PDF first. - Password-protected PDFs prompt you for the password. PDFs that are merely locked against editing open automatically.
- Which fields 4admin looks for is set under Extraction fields in Settings.
Read-only users don't see Analyse new policy.
The review screen
Click a policy card to open its analysis. It opens as a full page.
Toolbar
- Close & Save takes you back to the list. Edits save automatically as you make them, so this is a safe exit rather than the only way to save. The button reads Saving... while a save is in flight, and is unavailable while a call is in progress or a funds, contributions or withdrawals drawer is open.
- The phone icon (or Manage transcripts once you've made a call) lets you call the provider.
- The email icon opens an information request email.
- Export downloads the analysis as Word, Excel or CSV. Two switches control the output: Including citations adds the page reference after each value, for example "£50,000 (P3)", and Exporting zip bundles the files into one download.
- The CRM button pushes the analysis to your connected CRM. See CRM Integrations.
- Mark complete flags the policy as reviewed.
Read-only users see Close instead of Close & Save, and only the Export menu.
Left side: the document
The original document opens on the left. Drag the Resize handle between the two panes to give either side more room.
Right side: the extracted values
The table has two columns, Requested Information and What we found, with one row per field.
- Use Search fields... to jump to a field by name.
- The filter icon next to the column heading switches between Filter to missing info and Show all.
- Fields with nothing found are tinted red. These are the gaps to chase with the provider.
- Click any value to edit it.
Confidence chips show how sure 4admin is about each value:
| Chip | Meaning |
|---|---|
| High (green) | Directly supported by the document. Still worth a glance. |
| Medium (amber) | Some supporting evidence. Check it. |
| Low (red) | Little or no directly quoted evidence. Review carefully. |
Hover over a chip and click Edit to change the rating yourself, for example after you've verified a value.
Citations tell you where a value came from:
- Click the P.X badge to jump to that page, with the source text highlighted. Use the ◀ ▶ arrows to step between highlights.
- Page citations are 4admin's best estimate. Hover over the badge and click Edit to correct the page.
- For a value you've typed in yourself there is no page to cite. Tick Phone call if it came from a call, or click Add citation to record where it came from. Exports then show "(Phone call)" after the value.
Fund details
The N funds found button (red No funds found when nothing was extracted) opens the funds drawer. Each fund has a Name, Value, Units held, ISIN, SEDOL and FMC (%) column, plus a Fund Link column where a factsheet link was found.
- Edit any cell directly. Add Fund adds a row and Export CSV downloads the table.
- ISINs must be exactly 12 characters and SEDOLs exactly 7. A code of the wrong length shows "Must be 12 characters" or "Must be 7 characters" and blocks Close & Save until you fix it.
Find missing ISINs
If some funds have no ISIN, click Find missing ISINs and 4admin fills them in:
- 4admin's own database first. Codes seen on other policies are matched instantly, with the SEDOL where known.
- AI web search next. For anything still missing, 4admin searches fund factsheets and data sites and shows the source it used next to each code.
Funds you've filled in by hand are left untouched. Re-running overwrites earlier suggestions for funds that are still blank.
Contributions and withdrawals
Two similar drawers sit next to the funds button:
- N contributions found lists each contribution with its date, type and amount. Use Add Row to add one, and Export CSV to download the history.
- N withdrawals found does the same for withdrawals, with a type on each row such as Regular, Lump sum, PCLS or UFPLS.
Both feed the CRM push and the Excel export.
Finishing up
- Fill any red fields, by editing, emailing the provider or calling them.
- Mark citations for anything you entered by hand.
- Tick Mark complete.
- Export or push to your CRM, then Close & Save.
If more documents arrive later, see Adding documents to an existing analysis.
