Setting up your LOA mailbox
Before you can send and track LOAs, 4admin needs a mailbox to send from and monitor. It uses this mailbox to email providers, read the replies that come back and match them to your LOAs.
A mailbox that only handles LOAs (for example loas@yourfirm.co.uk) keeps provider correspondence separate and makes the Smart Inbox much easier to work through.
Step 1: Connect a mailbox
- Go to Settings and find Contact Methods.
- If you have no mailbox connected yet, click Connect Outlook. If your firm has Gmail enabled, you'll also see Connect Gmail.
- Sign in with the account you want to use and approve the permissions.
- You're returned to Settings and the mailbox appears under Connected mailboxes.
To connect another mailbox later, click Add on the Connected mailboxes card and choose Outlook or Gmail.
If you already connected a mailbox to send information requests from a policy analysis, you can use the same one. There's no need to connect it again.
Step 2: Choose your LOA mailbox
- On the Connected mailboxes card, click LoA Mailbox.
- The Set LoA Mailbox modal opens. It shows your current LOA mailbox (if any) and lists the mailboxes connected to your own login.
- Select the mailbox you want to use for LOAs.
- Click Set as LoA Mailbox. If you've selected the one already in use, the button reads Keep Current LoA Mailbox.
From now on 4admin sends LOA emails from this mailbox and watches it for provider replies.
Working in a team: the shared mailbox
If your firm's main account has set an LOA mailbox, everyone on that account sees it in their Connected mailboxes list with a Shared chip. It's managed by the firm's account, so team members can't remove it, and it can't be picked in the Set LoA Mailbox modal from another login. Submissions and the Smart Inbox use the shared mailbox automatically unless you set one of your own.
If you want an LOA mailbox of your own, connect it with Add first, then choose it in the Set LoA Mailbox modal.
Who sees the LoA Mailbox button
The LoA Mailbox button appears for admins on plans that include LOAs. On some plans every user on the account sees it. If you can't see it and think you should, ask your admin or contact support@4admin.co.uk.
Troubleshooting
No LoA Mailbox Configured
If no LOA mailbox is set, both the Submissions page and the Smart Inbox show a No LoA Mailbox Configured warning. Click Configure LoA Mailbox to go to Settings and complete Step 2.
I can't see the LoA Mailbox button
- Make sure at least one mailbox is connected under Contact Methods.
- The button is only shown to admins on most plans. Ask your admin to set the mailbox, or ask them to make you an admin (see Managing users).
"Needs admin access" when connecting Outlook
Your Microsoft tenant requires an IT administrator to approve 4admin. Email support@4admin.co.uk with a member of your IT team in copy and we'll walk them through it.
