Access levels
Only applicable with individual user logins
Access levels only matter when your firm has multiple individual user logins on the same subscription. If everybody shares a single login, this page does not apply.
4admin separates what a user can see from what an admin can do. There are two independent dimensions:
Data scope
Limited data access (default)
Users can:
- ✓ Work with their own clients and LoAs
- ✓ Reassign their own clients and LoAs to other users in the organisation
- ✓ Export their own work
- ✓ Use CRM integrations
They cannot:
- ✗ See other team members' clients or LoAs
- ✗ Reassign other users' records
- ✗ Change account settings
All data access (full data access)
Users get everything from Limited data plus:
- ✓ View all clients and LoAs across the organisation
They still cannot:
- ✗ Reassign other people's records (that's an admin power)
- ✗ Manage settings, billing or other users
Admin
Admin is a separate toggle from data scope. An admin can:
- ✓ Add and remove team members
- ✓ Change other users' access levels
- ✓ Reassign any policy or LoA across the organisation to any other user in the org
- ✓ Bulk-reassign a leaver's clients and LoAs before deleting their account, so nothing is left orphaned
full_data_access alone does not grant any of the reassignment powers — those require the admin toggle.
Changing access or removing users
- Use the access dropdown next to a user's row to change their access level or grant/revoke admin
- Use the trash icon next to a user to start the delete-with-reassignment flow
