Reassigning ownership
Reassigning only matters when each person signs in with their own 4admin account. On a shared login there is one owner for everything and nothing to move between people.
Every client (and the policies inside it) and every LOA has an owner. You can hand a client or an LOA to a colleague from the record itself.
Who can reassign
| Who | What they can reassign |
|---|---|
| Admins | Any client or LOA in the organisation |
| The current owner | Their own clients and LOAs |
Having All Data on its own doesn't let you reassign other people's records. That needs admin access.
Read-only users can't reassign anything, and they can't be chosen as the new owner because they can't own records.
Reassigning a client
A client row on the Clients & Cases / Analyses page holds one or more analysed policies. Reassigning the client moves every policy under it in one go.
- Open Clients & Cases / Analyses from the sidebar
- Find the client and click the ⋮ menu on their row
- Click Reassign owner
- In the Re-assign owner: [client name] modal you'll see who it's currently assigned to. Pick the new owner from Choose an org user
- Click Reassign
A toast confirms how many records moved, and the list refreshes. If you were the previous owner and you only have Just Their Data, the client disappears from your list because you no longer own it.
Every policy that belongs to that client name and the previous owner moves. If a colleague also has a client with the same name, their policies stay put.
Reassigning an LOA
- Open the LOA from the Submissions list
- Open the Actions menu in the top right and click LoA settings
- Scroll to the Owner section at the bottom. It shows who the LOA is currently assigned to
- Click Reassign owner
- Pick the new owner from Choose an org user
- To move every LOA for this client at the same time, tick Apply to every LOA for "[client]" owned by [current owner]
- Click Reassign
The toast shows how many LOAs moved. You're then returned to the Submissions list.
The bulk option moves all LOAs that share the same client name and the same current owner. It's the quickest way to hand a whole client over when someone takes over their cases.
Moving everything a user owns
To move all of a user's policies and LOAs at once, for example when someone leaves or changes role, admins can use Reassign data or the reassign-and-delete flow in Settings → Manage Users. See Managing users.
